1. Call to Order
President Jonathan Frazier called the meeting to order at 6:06 p.m. Recording and transcription were confirmed to assist with the preparation of the minutes, with Jonathan taking supplementary notes to ensure accuracy.

2. Approval of Previous Minutes
The Executive reviewed the previous meeting minutes. Minor edits were made prior to approval.
Motion: To approve the previous meeting minutes as amended and authorize them to be posted on the NVICA website once signed.

3. Treasurer’s Report
Ronald St. Pierre presented the Treasurer’s Report covering March through June.
Financial Highlights
End of June bank balance: $11,445.69
Approximately $500 remains payable to Kevin Moore.
Membership revenue continues to be lower than anticipated.
Major expenses included:
Western Conference attendance
Storage fees
Installation Dinner
Conference registrations
Bursaries and scholarships
Conference reimbursements included:
Jonathan Frazier – $1,942.13
Kevin Moore – $333.35
Outstanding receipts remain from Costco, sausage purchases, Shorewolf Farm, and other event expenses.
The Executive discussed the need for additional fundraising initiatives to support scholarships and ongoing association operations.
Action Items
Ronald to reimburse Kevin once outstanding receipts are received.
Lesley to submit Costco receipts.
Kevin to forward outstanding Costco and sausage purchase totals to Ronald.
4. Membership Report
The Membership Director remains away until approximately the end of September.
Discussion focused on:
Recent memberships from VIU students and young chefs.
Delays in local membership reporting due to National Office processing.
Recruiting new members at every NVICA event.
Encouraging employers to support staff memberships.
Renewing lapsed memberships.
Action Item
Executive members will bring laptops to Chef’s Night Out to process memberships and renewals on-site.
5. Event Updates
Installation Dinner
The Installation Dinner was considered a great success with excellent attendance, positive feedback, successful raffle fundraising, and the installation of the new Board. Outstanding invoices and reimbursements remain to be reconciled.
Chef’s Night Out
Approximately 20 attendees are expected.
The Executive will promote NVICA memberships during the event.
Food Day Canada
Planning continues for September 26, 2026.
Jonathan will confirm attendance numbers and event details with Paul before finalizing menu planning.
Discussion included:
Promoting Food Day Canada beginning August 1.
Using previous years’ photos and video for social media.
Participating in the August 22 Farmers’ Market.
Potential use of donated coconut milk for a coconut-lime panna cotta or similar feature.
Farmers’ Market
The August 22 Farmers’ Market was confirmed.
Lesley will obtain the required food permit.
The previous market was successful; however, cooking concluded early after running out of butane.
Vines & Tides (40 Knots)
The Executive discussed opportunities to volunteer at the event, with the possibility of participating in knife-sharpening training while supporting the fundraiser.
Nanaimo Breakfast
Planning continues for next year’s Nanaimo Breakfast. No further action is required at this time.

Ronald to purchase additional butane canisters.
Jonathan to verify inventory and supplies.
Jonathan to confirm final attendance numbers with Paul.
6. Community Outreach
The Executive discussed promoting NVICA activities through social media beginning August 1.
Promotion will highlight:
Food Day Canada
Farmers’ Market events
Upcoming Chef’s Night Out
Other community events and member activities
7. Fundraising
The Executive reviewed fundraising priorities for the remainder of the year.
Discussion included:
Employer-supported memberships.
Future raffles.
Holiday fundraising opportunities.
Community partnerships.
Volunteer participation.
Freezer Raffle
The Executive discussed the possibility of holding another Freezer Raffle.
Topics included:
Donated versus purchased freezer.
Storage and packaging.
Reducing meal quantities from previous years.
Volunteer availability.
School schedules.
Ticket sales timeline.
Community partnerships.
The Executive supported providing participating members with a $100 ingredient budget to offset food costs.
Jonathan will distribute a MailChimp survey to gauge volunteer interest and determine whether sufficient support exists to proceed.
Fundraising Dinner
Buddy Wolfe will investigate hosting a fundraising dinner during November or December.
Payment options may include Eventbrite or Square.
8. Scholarships
The Executive discussed the future direction of NVICA scholarships, with an increased focus on supporting:
Professional development
Cook’s Camp
Conferences
Culinary Federation events
Continuing education opportunities
Members agreed these opportunities provide significant long-term value for members.
Bruno Marti Scholarship
Following previous email discussions and with quorum present:
Motion: That NVICA contribute $500 toward the 2027 Bruno Marti Scholarship.

9. New Business
Hospice Pancake Breakfast – August 1 in Comox. Members were encouraged to attend if available.
Additional updates regarding Food Day Canada, Vines & Tides, membership growth, and upcoming community events were reviewed.
